ONLINE TEE BOOKING SERVICE

Tauranga Golf Club introduced the online tee booking system in March 2009. This system replaced the manual tee booking system where the start sheets were published on the Pro Shop Noticeboard.

To use any Online Tee Booking System, members must have access to the internet and will require an email address. Members who do not have internet access will be able to book online via a computer Kiosk located in the Clubhouse, or by phone with the Pro Shop.

Online Tee Booking - Questions & Answers
Q Can I still book a tee time if I don't have access to the Internet?
A Yes. You will be able to use the terminal in the Clubhouse or book with Pro Shop Staff.
Q Can I book a four, or can I only book a time for myself?
A You can book for yourself and three other players.
Q Can I change a booking after it has been made online?
A Yes, if you made the booking you can delete the booking entirely or remove individual names from the group. Other players in the group that you booked can remove their own names, but not the names of other players in the group. These protocols are in place to prevent abuse of the system and maximise utilisation of the course.
Q Can the public book tee times?
A While the system can be set up to allow bookings by the public, this facility will not be made available at Tauranga in the short to medium term, but could be considered on some of our "off peak" times where an online payment system for green fees is introduced .
Q Am I able to book more than one tee time?
A No, Club policy has always been that a member can only book up to four players in a group. Multiple tee bookings must be made through Club staff, either at the Pro Shop or Club Office. Once you have made your booking all other Tee Times on that day will become unavailable to you.
Q How will draws be published?
A Draws will be published using the online booking system, although some draws may still be published on the Club Website.
Q Will start sheets be printed and posted on the noticeboard at the Pro Shop?
A Because the booking system is "online" and subject to amendment at any time by members or administrators, it is not possible (nor is it necessary), to publish hard copy 7-day start sheets. The daily start sheets will be printed out by Pro Shop staff each morning for that day and will be used for starting just as they are at the moment.
Q Will draws be published in the local newspaper?
A No, in fact we stopped doing this some time ago once we began publishing draws on the Club website and members are enjoying this facility. The main reason for this is that the Online Draws and Tee Bookings are "live" and up to date until the day of play. The copy deadline for draws for the BOP times is 4pm on Tuesday afternoon, and information is already out of date by the time they are published in the Thursday edition of the newspaper. As more clubs move to online systems, you will see fewer draws published in newspapers. Newspaper draws also assume that everyone buys the BOP Times, which is not the case, whereas anyone can look up a website address, either at home, at work, at a friends house or in the case of online tee booking, at the clubhouse terminal.
Q If I don't have access to the Internet, how will I check my start time?
A You can use the terminal in the clubhouse or phone or visit the Pro Shop to check your time. It is also important to remember your time when you actually make the booking, just as you would for any other appointment and perhaps make a note of that to take home with you. Some draws may still be published on Mens/Womens Locker Room Noticeboards.
Q Is there any way I can have my tee time sent to me as a reminder?
A At this stage, the Golf Autoscore Tee Booking System does not have this facility, but it is a likely enhancement for the future.
Q Can I book a tee time for a guest, even if they are non-affiliated?
A Yes, provided it is at a time when guests/visitors are permitted to play. These parameters are set into the templates by us.
Q How will I log onto the booking system?
A Simply go to the Club Website, or Clubhouse terminal, click on the "Tee Booking" icon on the home page and enter your number and password. All members will be mailed their Number and Password prior to the system going live.
Q How far ahead can I book?
A Seven days the same as present, although advance bookings can still be made with the Club Office for special activities and group/tournament bookings.
Q When Can I book?
A The Online Tee Booking System is available 24-7
Q Is the system password protected?
A Yes. You will receive a user Number and Password by mail from the Club.
Q Can I change my password?
A Yes, by notifying the Club office.
Q How do I use the terminal in the Clubhouse?
A The booking terminal will have a screen, keyboard and mouse and will be simple to operate.
Q Will members have to approve the system?
A The Club is consulting with player groups and members at the moment, just as we did with Golf Autoscore, but no, the introduction of the booking system is an administrative upgrade already ensorsed by the Board. Consultation feedback so far indicates close to 100% support for the online booking system.
Q Is the system expensive to set up?
A Being internet software based, online booking systems are relatively inexpensive, with ongoing costs generally being just the annual license fee. This varies, depending on the final system we choose, but between $1,200 - $2,500 a year plus GST would cover it. The hardware for the Clubhouse Terminal is the same for any of the systems, and would be less than $3,000 plus GST fitted. The Clubhouse was networked to take these system when we rebuilt back in 2001.
Q When will the system commence?
A We have selected the Golf Autoscore online booking system and from March 2009. There is quite a lot of detail working setting up all the standard draw and starting tee templates, but once that is completed then the workload for staff reduces.
Q Who will be responsible for maintaining the system?
A Office staff will be responsible for the setup of the system, and all club staff will be trained in its use.
Q What happens with Club days when the committees do a draw?
A In that situation, members will be blocked from booking tee times on that day. An example of this would be Tuesdays, where the Womens 9-Holers and Mens Veterans are drawn starting times. With an online booking system, the committees would continue to do their draws as they do at the moment, and these will just be entered into the online daily sheet buy office staff. While initially, office staff will be responsible for inputting these competition draws, it is possible for committee officials to also do this if they have an interest.
Q What happens if the internet goes down?
A Good question, and it's the equivalent of a big easterly storm blowing our start sheets off the notice board and onto the course, except that in the case of the online system, there is a backup record of bookings, not a soggy mess found days later on the 14th Hole! Even our worst case scenario in the last five years, we have only lost our internet service for a few hours. However, to be on the safe side, each night, the Pro Shop will be responsible for printing out the start sheet for the following day so that a hard copy is available. There will also be a backup system operating for web files.
